1. Name Information
1.1 During the application stage for Master Member or Student Member status, applicants are only required to submit images of their artworks. No personal information, including name, is required by Losget Academy at this stage.
1.2 Only upon approval as a Master Member or Student Member (hereinafter collectively referred to as “Members”), the applicant shall be required to provide personal information for archival registration. All Members must register their legal name. If the name is not in English, the Member shall additionally provide:
The English spelling as shown on their passport or government-issued identification;
The original name in the native language.
1.3 If a Member chooses to use a pseudonym in the Art Ark 500 Program:
The legal name will only be used for contractual, legal, and internal administrative purposes, and will not be disclosed in promotional or publication materials within the Program;
If the pseudonym is not in English, the Member must also provide its English spelling.
1.4 Members are free to decide whether to use their legal name or a pseudonym in the Art Ark 500 Program. However, once a name is chosen and publicly used, it may not be changed arbitrarily.
1.5 As the official language of the Art Ark 500 Program is English, all Member names will appear in English on the official website and in publications. For names not originally in English, the Member may request that the original script be placed in parentheses following the English name.
2. Portrait Image Usage Provisions
2.1 When a Member submits a portrait photograph taken by themselves, such submission shall be deemed as authorization for the Academy to:
Non-exclusively use the Member’s name, likeness, and photographic content contained therein;
Use said content strictly within the scope of public-interest or commercial purposes under the Art Ark 500 Program.
2.2 When a Member submits a portrait photograph of themselves taken by a third party, such submission shall be deemed as:
Authorization for the Academy to non-exclusively use the name and likeness of the depicted individual;
Simultaneous authorization on behalf of the photographer, permitting the Academy to use the photographic work.
2.3 When a portrait photograph is used on a Member’s profile page on the official website or on the author page of published collections, the Academy shall indicate the following:
The name of the depicted individual;
The name of the photographer;
(Optional by the Member) The location and year of the photograph.
However, in extended use cases such as covers, posters, or video materials, the Academy does not guarantee such information will be indicated.
2.4 If a Member submits a self-portrait drawing to serve as their portrait image, it shall be deemed as non-exclusive authorization granted to the Academy to use the Member’s name, likeness, and artistic content, for both public-interest and commercial use.
2.5 If a Member submits a portrait drawing created by another person, the submission shall be deemed as authorization granted by the Member on their own behalf and on behalf of the artist, permitting the Academy to non-exclusively use the name, likeness, and artistic content of the depicted image.
2.6 When such portrait drawings are used on the Member’s profile page on the website or in published author pages, the Academy shall indicate:
The name of the depicted individual;
The name of the artist;
(Optional by the Member) The location and year of creation.
However, the Academy does not guarantee such indications in extended use cases such as covers, posters, or video materials.
2.7 The Academy shall only acquire non-exclusive usage rights over all submitted photographic or drawn portrait images. Usage is strictly limited to presentation, publication, and dissemination under the name of the Art Ark 500 Program, or as required by public authorities under applicable laws.
2.8 When a Member or a representative acting on behalf of another party grants usage authorization for a portrait image, this shall also be deemed as consent for the Academy to determine whether such image may be shared with external collaborators or affiliated entities of the Art Ark 500 Program—for example, permitting use by news media for promotional or reporting purposes.
3. Usage of Artwork Images
3.1 If a Member submits a photograph of their own artwork, such submission shall be deemed as granting the Academy non-exclusive usage rights over the visual content of the image.
3.2 If a Member submits a photograph of their artwork taken by another individual, the submission shall be deemed as a simultaneous authorization by the Member on behalf of the photographer, granting the Academy non-exclusive usage rights over the visual content of the image.
3.3 For all submitted artwork photographs—regardless of whether taken by the Member or by another party—the Member is deemed to have waived any requirement for crediting the photographer in the use of the image by the Academy.
3.4 The Academy may apply limited technical adjustments to submitted artwork images, including:
Cropping may be applied for display or publication purposes, as submitted images are required to include the visible edges of the artwork;
Minor adjustment of brightness or similar parameters.
The Academy shall not apply color correction, flaw retouching, or any other aesthetic enhancements to the image, in order to preserve the authenticity of the artwork.
3.5 The Academy shall acquire only non-exclusive usage rights to all submitted artwork images. These rights shall be strictly limited to purposes of presentation, publication, or dissemination under the name of the Art Ark 500 Program, and may not be exercised in any context unrelated to the Program.
4. Post-Membership Handling Provisions
4.1 Upon the termination of a Master Member or Student Member’s affiliation with the Academy, the Academy shall complete the following actions within fifteen working days:
Removal of the Member’s individual profile page from the official website of the Art Ark 500 Program;
Withdrawal of all submitted artwork images from other sections of the official website (e.g., feature pages, exhibition pages, etc.).
5. Official Designation Usage Standards
5.1 During their term of membership, Master Members and Student Members are permitted to use their official designation under the Art Ark 500 Program in any appropriate setting. Permitted titles are limited to the following forms:
“Art Ark 500 Master Member”
“Art Ark 500 Student Member”
5.2 Upon termination of membership, the former Master Member or Student Member shall only refer to their prior status using the prefix “Former”, such as:
“Former Art Ark 500 Master Member”
“Former Art Ark 500 Student Member”
6. Restrictions on Use of Program Name and Logo
6.1 Without prior written authorization from the Academy, no Member may conduct any form of cooperation, co-branding, or agreement execution under the name of the Art Ark 500 Program. This restriction applies regardless of whether such actions are commercial or non-commercial in nature.
6.2 Unauthorized use of the Art Ark 500 Program logo is strictly prohibited. Prohibited uses include:
Use of the logo as a social media profile image;
Display of the logo in either commercial or non-commercial settings.
6.3 The following are examples of compliant uses of the logo and shall not be considered violations:
A Member appears in a self-photographed image featuring the logo as displayed on the official Art Ark 500 Program website;
A Member is photographed at an official offline exhibition event in front of a backdrop, banner, or poster bearing the logo.
